NeverMissAFiling provides AI-powered compliance filing services, including the automated submission of annual reports, statements of information, and franchise tax reports to state agencies across all 50 US states. Given the nature of our Service, we handle sensitive business and credential data, and we take that responsibility seriously.
We collect information that you provide directly to us, information generated through your use of the Service, and information from third-party sources. The categories of information we collect include:
Account Information: When you create an account, we collect your name, email address, phone number, and password. If you sign up using a third-party authentication provider (such as Google), we receive your name and email address from that provider.
Business Entity Data: To perform compliance filings on your behalf, we collect information about your business entities, including entity name, state of incorporation, entity type, formation date, registered agent details, officer and director information, and state-issued entity or filing numbers.
State Portal Credentials: If you choose to provide your login credentials for state government portals (such as the California Secretary of State website), we store these credentials in encrypted form using AES-256 encryption. These credentials are used solely to access state portals on your behalf to complete filings.
Payment Information: We use Stripe as our payment processor. When you subscribe to a paid plan, your payment card details are collected and processed directly by Stripe. We do not store your full credit card number on our servers. We receive and store a tokenized reference, your billing address, and transaction history from Stripe.
Usage Data: We automatically collect information about how you interact with the Service, including pages visited, features used, filing history, timestamps, and actions taken within the platform.
Device and Technical Data: We collect your IP address, browser type and version, operating system, device identifiers, referring URLs, and general location data (city/region level) derived from your IP address.
We use the information we collect for the following purposes:
Filing Compliance Documents: The primary purpose of our Service is to file compliance documents with state agencies on your behalf. We use your business entity data and state portal credentials to access government portals, complete required forms, and submit filings.
Sending Confirmations and Notifications: We send you email confirmations when filings are submitted, when filings are approved or rejected by state agencies, when upcoming deadlines are approaching, and when there are important updates to your account or our Service.
Improving Our AI and Automation: We use aggregated and anonymized usage data to improve the accuracy and reliability of our AI-powered filing automation, optimize our browser automation workflows, and develop new features. We do not use your personal credentials or sensitive business data for model training.
Communication: We may use your contact information to respond to your inquiries, provide customer support, send product updates and announcements, and deliver marketing communications (from which you may opt out at any time).
Fraud Detection and Security: We use technical and usage data to detect and prevent unauthorized access, abuse, and fraudulent activity on our platform. This includes monitoring for suspicious login attempts, unusual filing patterns, and potential misuse of the Service.
We implement industry-standard security measures to protect your personal information from unauthorized access, alteration, disclosure, or destruction. Our security practices include:
Encryption at Rest: All sensitive data, including state portal credentials, is encrypted using AES-256 (Fernet) encryption before being stored in our database. Encryption keys are managed separately from the encrypted data and are rotated periodically.
Encryption in Transit: All data transmitted between your browser and our servers is protected using TLS 1.3 encryption. We enforce HTTPS across all endpoints and do not support insecure connections.
Infrastructure Security: Our database infrastructure is hosted on Supabase, which maintains SOC 2 Type II compliance. Supabase provides automated backups, network isolation, and continuous monitoring of their infrastructure.
Access Controls: Access to production systems and customer data is restricted to authorized personnel only, on a need-to-know basis. We enforce multi-factor authentication for all internal administrative access.
Regular Audits: We conduct regular security reviews and audits of our codebase, infrastructure, and processes to identify and address potential vulnerabilities.
We do not sell, rent, or trade your personal information to third parties for their marketing purposes. We share your information only in the following limited circumstances:
Service Providers: We share information with trusted third-party service providers who assist us in operating the Service. These providers include Stripe (payment processing), Supabase (database hosting and authentication), Crisp (live chat and customer support), and PostHog (product analytics, EU-hosted). Each provider is bound by contractual obligations to protect your data and use it only for the purposes we specify.
State Government Portals: When you authorize us to file on your behalf, we submit your business entity information to the appropriate state government portals. This is the core function of our Service and is performed only with your explicit authorization.
Legal Requirements: We may disclose your information if required to do so by law, in response to a valid subpoena, court order, or government investigation, or if we believe in good faith that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request.
Business Transfers: In the event of a merger, acquisition, reorganization, bankruptcy, or sale of all or a portion of our assets, your information may be transferred as part of that transaction. We will notify you via email and/or a prominent notice on our website of any change in ownership or use of your personal information.

Access: You have the right to request a copy of the personal information we hold about you. You can access most of your data directly through your account dashboard.
Correction: You have the right to request that we correct any inaccurate or incomplete personal information we hold about you. You can update your account information and business entity details directly through the platform.
Deletion: You have the right to request that we delete your personal information. Upon receiving a verified deletion request, we will delete your account and personal data within 30 days, subject to our legal retention obligations (see Data Retention below).
Data Portability: You have the right to receive your personal information in a structured, commonly used, machine-readable format and to transmit that data to another service provider.
California Residents (CCPA): If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect, the right to request deletion, and the right to opt out of the sale of personal information. We use cookies and similar tracking technologies to operate and improve the Service. Our use of cookies falls into the following categories:
Essential Cookies: These cookies are necessary for the Service to function properly. They include authentication session cookies that keep you logged in, CSRF protection tokens, and preference cookies. You cannot opt out of essential cookies as they are required for the Service to operate.
Analytics Cookies: We use PostHog for product analytics to understand how users interact with our Service. PostHog is self-hosted on EU infrastructure and is configured to comply with GDPR requirements. PostHog collects anonymized usage data such as page views, feature usage, and session duration. We do not use PostHog to track individual users across third-party websites.
No Advertising Cookies: We do not use advertising cookies or tracking pixels from ad networks. We do not participate in third-party ad exchanges, retargeting programs, or cross-site tracking for advertising purposes.
We retain your personal information for as long as necessary to provide the Service and fulfill the purposes described in this Privacy Policy. Our specific retention practices are as follows:
Active Accounts: We retain your account information, business entity data, and filing history for as long as your account remains active. You can access and manage this data at any time through your account dashboard.
Filing Records: We retain records of completed filings, including confirmation numbers, filing dates, and submitted data, for a minimum of 7 years from the date of filing. This retention period is necessary to comply with tax and business record-keeping requirements and to provide you with a historical record of your filings.
Post-Deletion: When you request account deletion, we will delete your personal data within 30 days of receiving your verified request. However, certain information may be retained beyond this period as required by law, including filing records subject to the 7-year retention period, transaction records required for tax and accounting purposes, and any data we are required to retain pursuant to a legal hold or government investigation.
The Service is not directed to individuals under the age of 16. We do not knowingly collect personal information from children under 16. If we become aware that we have collected personal information from a child under 16, we will take steps to delete that information as soon as possible.
